DLA Distribution Korea’s Continuous Process Improvement Team receives Global Distribution Excellence Award: Team Performance of the Year Award

The Defense Logistics Agency Distribution Korea Continuous Process Improvement Team has been awarded the Global Distribution Excellence Award for DLA Distribution Team of the Year.

The team mates and award recipients are Chong Kyu Hwang, Min Chong Yi and Hyon Yong O.

“The CPI is an integral part of the decision making process in all facets of Distribution operations,” said DLA Distribution Korea commander, Army Lt. Col. Mark Wolf. “They are a highly motivated and cohesive team, not content to just wait for work to be assigned.”

Together, the CPI team “built from scratch” several database systems directly impacting customer support, mission and workforce development that not only netted immediate results, but continue to pay huge dividends as legacy systems.  The first system was a database system to manage and track external and internal taskers. The team developed an electronic form that could be completed and e-mailed to key personnel. Data fields on the form automatically populated a database which retained the tracking history of all taskers and provided an easily searchable archive for recurring tasks. This saved manpower and time while adding a valuable management tool that improved overall efficiency.

Additionally, the CPI team developed the Customer Inquiry Management System which manages all the customer inquiries received throughout the entire depot, significantly improving the responsiveness and management of customer inquiries, particularly those related to logistics and transportation issues.

Since the implantation of this system a year ago, DLA Distribution Korea was able to identify more than 2,000 customer inquiries; categorize them, and track a completion rate of 24 hours or less for more than 99 percent of all inquiries received.

“What an amazing management tool; our customers raved about the responsiveness of our redesigned support system,” said Wolf.

The Personnel Management Database was developed by the CPI team to assist managers and administrative assistance to efficiently and effectively track a wide variety of informational requirements related to employee management such as vehicle pass and ID expiration dates, training and education records, certifications, additional duties, position descriptions, award history and more. The database also contains a query function that can rapidly produce individual reports or just as easily provide information for a branch or section.

“This database saves a tremendous amount of time for leaders,” explained Wolf. “Moreover, it is always accurate and up to date. The managers can focus on mission support without sacrificing timely, effective personnel management.”

As DSS transactional information was routinely purged and therefore not available when doing causative research or root cause analysis, the CPI team saw the need to create a database that contained this historical information. They developed a simple and functional database called The Distribution Datamart. This system provides improved customer support by allowing rapid access to historical shipping documents while providing a valuable, easy to use tool when researching quality control noncompliance, or areas of under-performance.

“Simply put, having access to reliable, historical data has been the foundation of our problem solving and decision making processes,” said Wolf. “All four databases were created, developed, built and implemented in addition to the teams’ regular duties.”
